The Viterbi School of Engineering seeks to recruit a capable, dependable Budget/Business Technician to support core financial operations during a period of transformative change. The Budget/Business Technician is a critical staff support role within the finance team, performing a combination of duties related to processing and monitoring business transactions, overseeing and provide leadership and work guidance for Student Workers within work units, and performing other administrative duties supporting our finance team and the Viterbi School more broadly.
The Budget/Business Technician will support financial functions at the Viterbi School, provide supporting services across 350 full time faculty (tenure, research and teaching), 350 full time staff, 60 postdoctoral scholars, and more than 2000 Student Workers across eight academic departments, several academic programs, and various administrative units. The specific accountabilities of this role include, but are not limited to:
Reconciles account balances and activity to university financial records and initiates correcting entries. Prepares and submits financial reports as required and reviews for accuracy prior to distribution. Troubleshoots problems, including research of pertinent facts and interacts with appropriate university staff to achieve resolution.
Recruits, hires, trains, and supervises student workers. Provide leadership and work guidance; monitors employee performance on to ensure timely completion of work.
Administers assigned budgets. Analyzes current performance to plan. Identifies and researches variances and trends. Coordinates year-end financial transfer and closing activity.
Processes and manages School deposits including gifts, income, reduction of expense, and incoming wires. Sets-up, maintains, and monitors departmental and gift accounts.
Prepares and processes department orders, reimbursements, requisitions and other business forms.
Maintains the VBA finance website. Provides information to staff and faculty regarding university financial policies and procedures such as accounting for travel expenditures and reimbursements.
Performs administrative duties associated with scheduling and coordinating meetings. Oversees office operations and implements changes or enhancements to procedures to improve productivity, efficiency, and service.
Manages and covers front desk/reception area to receive visitors, answer telephones and provide information or relay/refer calls or messages. Processes incoming and outgoing mail and packages, monitors inventory, and order unit supplies.
Coordinates vendor services. Serves as a liaison between Viterbi School and central Treasurerâs Office, Aramark Custodial Services, and other university units.Â
Coordinates repair and maintenance services for a variety of office machines; leads and train other employees in operating and maintaining these machines (e.g., computer and printers, photocopier, fax machine, telephone systems).Â
Ensures confidentiality and controls access to sensitive information such as faculty or staff personnel files.
Performs other duties as assigned.
Minimum Education: High school or equivalent; combined experience/education as substitute for minimum education.
Minimum Experience: 2 years
Minimum Field of Expertise: Directly related office financial experience to provide a knowledge of accounts payable, income and expense accounting and reconcilement, and budget preparation.
Preferred Education: Associate's degree; related undergraduate study.
Preferred Experience: 3 years
Preferred Field of Expertise: College coursework in business administration, accounting or related field and 1-2 years of directly related work experience
