Bachelor's degree in related field. Master's degree preferred. Three years of experience in student retention, orientation, recruitment, or a related field. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Nature & Purpose of Position/Usual Duties:
Coordinates and implements New Student Orientation and assists in the planning and implementation of other new student orientation programs. Performs complex administrative and supervisory program work.
Primary Responsibilities (Staff Positions Only):
Oversees the work of assigned program staff. Reviews program budget expenditures. Prepares and oversees the preparation of training and operational manuals. Confers with staff on program issues and implements solutions. Plans, coordinates, and evaluates orientation programs. Assists in the development of and recommends program guidelines, procedures, polices, rules, and regulations for orientation programs. Interprets policies, rules, and regulations and ensures they are followed. Assists the Assistant Director in the planning and implementation of new student orientation, family orientation, sibling orientation, transfer orientation and virtual orientation. Provides reports on student and family orientation. Works with the Assistant Director in creating and implementing the Bearkat Orientation Resource guide for students and family members. Focuses on areas to improve students' educational experience including but not limited to research on student demographics and national higher education data trends. Facilitates trainings and workshops for professional staff members and campus partners for purposes of continued education and program improvements based on higher education data trends and incoming student data. Represents Sam Houston State University at National and Regional conferences. Focuses on enhancing the transition experience for those students in special populations including but not limited to transfer students, first-generation college students, etc. Plans and organizes transition programs for targeted student populations (first generation, etc.). Oversees processing of orientation payments and manages fee deferments by tracking students' submission of fee deferment forms. Coordinates with campus partners regarding orientation, marketing, events, etc. via phone, email, and/or face-to-face. Responsible for marketing and recruitment of student applicants for Orientation Team Leader/Orientation Leader positions. Facilitates multi-round interview process for student leaders annually and selecting 3-4 Orientation Team Leaders and 30-40 Orientation Leaders. Creates, plans and implements a comprehensive semester-long training program for Orientation Leaders, which includes creation of modules, learning checks and resources developed in BlackBoard. Works with the Assistant Director to complete required monthly 1:1 meetings with each orientation leader throughout the Spring semester. Organizes and facilitates weekly meetings with Orientation Team Leaders. Manages and oversees orientation program by ensuring Orientation Team Leaders and Orientation Leaders are adhering to orientation schedule, supervising a team of approximately 45 students and graduate student assistants, and serving as a resource for attendees by answering questions. Responsible for creating and implementing diversity, equity and inclusion programming for new student programs. Creates implements and maintains use of digital schedule and resources platforms. Maintains all email communication templates for new student programs through university Customer Relationship Management (CRM) system. Collects, scans, and manages receipts charged on office procurement card working with administrative coordinator to provide documentation in order to complete monthly reports. Collaborates with graphic designer to create promotional materials for orientation attendees, marketing materials, social media efforts, and materials needed for program events. Communicates with vendors to purchase orientation team uniforms, materials and promotional items. Performs other duties such as travel reconciliation, and answering phone calls and emails regarding orientation programs. Performs other related duties as assigned.
