Reporting directly to the CEO, the Senior Executive Assistant is the gatekeeper, serving as the primary point of contact for internal and external stakeholders. As a liaison to the Board of Directors and Bank leadership team, the incumbent must exercise considerable discretion and initiative to ensure project timelines are met.

ESSENTIAL DUTIES
EXECUTIVE SUPPORT
Performs a variety of administrative tasks for the CEO effectively including, efficiently managing an active and complex calendar; preparing confidential correspondence; managing email; coordinating travel; completing expense reports.
Communicates with a variety of stakeholders on behalf of the CEO including Board members, staff, and other internal and external stakeholders.
Acts as a liaison between the CEO and Bank employees as needed.
Produces meeting materials, PowerPoint, draft agendas, and related deliverables.
Prepares and modifies documents, letters, memos, reports, project management documents, emails, etc.
Keeps CEO informed of upcoming commitments and responsibilities, ensuring appropriate follow up.
Researches and follows up on issues and concerns addressed to the CEO, some which may be sensitive in nature, and determines appropriate course of action, if appropriate.
Attends meetings to take notes and tract action follow-up items as necessary.
Stays up to date on Bank happenings and priorities to ensure accurate understanding of the organization’s needs.
Manages complex calendar, coordinating and scheduling meetings and appointments.
Manages mail acceptance, preparation, and delivery.
Receives and screens incoming telephone calls for the CEO and directs/redirects calls to the appropriate individual or department as necessary.
Serves as the initial point of contact for all visitors to the CEO’s office.
BOARD SUPPORT AND LIAISON
Coordinates board and committee meetings and activities including scheduling and arranging meeting logistics.
Prepares and modifies Board and committee materials and uploads them to Board Books in a timely manner.
Assures meetings and all associated activities are planned and executed successfully including, but not limited to, Board meetings and Committee meetings.
Takes meeting minutes and disseminates them for review and approval as needed.
PROJECT SUPPORT
Completes projects and special assignments with the leadership team by establishing objectives, determining priorities, managing time, gaining cooperation and buy-in, monitoring progress, solving problems, adapting plans and other tasks as needed.
Solves or advises on practical and moderately complex problems.
Performs and coordinates projects of mid-level complexity from beginning to end (which includes breaking down the project into tasks and establishing a timeline of due dates) with general supervision.
Assists taskforce on large projects, as needed.
Works independently on projects or in a group, as needed.
ORGANIZATIONAL SUPPORT
Coordinates and administers moderately complex calendars for a variety of meetings, ensuring meeting invitations are sent to appropriate participants and are updated as needed.
Assists colleagues in logistic for traveling from offices, workstations, and ensuring office equipment are properly maintained.
Provides facilities support to ensure work areas and equipment are properly maintained and office supplies are available.
Exhibits leadership necessary to build crucial relationships internally and externally.
Remains aligned with the company’s brand and customer promise, effectively communicate with various levels in a professional work environment.
Ensures compliance with all state and federal regulations and internal company policies, including but not limited to BSA / Anti-Money Laundering, Fair Lending, Privacy, and Anti-Discrimination, to the extent each applies to current job responsibilities.
Completes all mandatory compliance training as assigned within specified due dates.
Performs other duties as assigned.
MINIMUM QUALIFICATIONS
Three (3) – five (5) years of C-Suite executive support experience.
Prior experience supporting Board activities is strongly preferred.
Tech savvy and comfortable working in various systems and software including, expert proficiency in MS Outlook, with strong proficiency in PowerPoint, Excel and Word, internet research and various social media platforms.
Excellent interpersonal and communication skills, with the ability to work effectively with a diverse range of individuals, teams, leaders, and external stakeholders.
Highly dependable with excellent organizational skills, strong attention to detail and follow-through.
Ability to manage multiple projects simultaneously, prioritizing work to meet deadlines.
Proven ability to use discretion when handling confidential information.
Strong customer/client service orientation with a track record of remaining calm and diplomatic in stressful situations.
Proactively solves problems and exhibits strong decision-making abilities.
Demonstrated track record of adapting to ambiguity and changing priorities.
