The School of Environmental and Forest Sciences (SEFS), a unit within the College of the Environment, has an opening for a Grant Specialist to support a vibrant, diverse, and growing academic community of more than 500 undergraduate and graduate students. Established in 1907 as one of the oldest units on the UW campus and one of the original natural resource programs in the country, our vision is to provide world-class, internationally recognized knowledge and leadership for environmental and natural resource issues. SEFS teaching, research and outreach programs focus on sustainability in natural and managed environments that include wilderness and park-like ecosystems, intensively managed ecosystems, and urban ecosystems. This BFA Lead position is part of the SEFS Research Grants & Contracts team of three staff that consists of a Grants Manager who supervises two staff who specialize in grant management.
The Budget/Fiscal Analyst Lead (BFA Lead) position will manage the pre-award and post-award activities for all complex grants in SEFS including a large portfolio with SEFS receives annually from the USDA. This position is responsible for thoroughly understanding applicable terms, conditions, and stipulations set by UW and Sponsors. The BFA Lead will frequently communicate with faculty, staff, graduate students, UW central departments (including the Office of Sponsored Programs and Grant and Contract Accounting, Management Accounting and Analysis), and Federal and Non-Federal Sponsors to ensure adherence to internal and external policy and procedures. The position makes decisions and judgment that impact the administration and management of SEFS research activity.

RESPONSIBILITIES:
All job activities center on ensuring compliance with sponsor, Federal, State, and University of Washington regulations.
PRE-AWARD MANAGEMENT:
•Assist Principal Investigators (PIs), research staff, and graduate students with the timely development and submission of grant and contract proposal. •Thoroughly review Request for Funding Proposals/Funding Announcements and internal UW policies and procedures to ensure compliance for proposal submission. •Communicate required corrections/modifications of proposal documents to PI’s, research staff, and graduate students based on RFP/FA. •Monitor the timely routing of the proposal via SAGE’s eGC1 and sponsor specific submission portals; the timely response to SEFS Director, College of the Environments Associate Dean of Research, and Office of Sponsored Programs for returned eGC1’s is critical.
USDA GRANT PROGRAM MANAGEMENT:
•Serve as Site Administrator for SEFS department’s annual USDA grant; managing the grant’s proposal and reporting requirements. •Learn and apply subject area expertise of program to independently advise faculty and research staff of program requirements; answer questions related to awards and allowable costs. Ensure compliance with agency expenditure policies and procedures, and award terms and conditions. •Reporting system requires detailed classification and project description information at the start of each new project, annual progress reports, and final reports, terminating projects when appropriate. •Perform post-award activities including personnel distribution, reporting and certification, cost sharing, and matching requirements. •Serve as liaison with National sponsors and USDA staff; travel to annual national meetings to represent University of Washington and meet national staff and administrators, as well as other program participants from other colleges and universities.
POST-AWARD MANAGEMENT:
•Work collaboratively with UW central office, Grant and Contract Accounting to monitor and produce sponsor specific invoices and financial reports. •Monitor Non-Faculty Effort cost share contributions, tagging Non-Faculty Effort cost share in Electronic Faculty Efforts and Cost Sharing System (eFECS), route report to PI for signature, submit report to GCA for processing via GrantTracker. •Provide regular accounting of budget expenditures. Meet frequently with individual faculty members to review budgets. Take action to correct problems (e.g., missing or incorrectly formatted reports, excessive budget balances) to complete research objectives required by sponsor. •Facilitate the establishment of subcontract agreements between external collaborators and UW Office of Sponsored Programs. •Serve as the School's Grants and Contracts Records Retention liaison. Maintain records destruction lists for Grants and Contracts.
MINIMUM REQUIREMENTS:
•A Bachelor's Degree with major study in accounting, business administration, or related field and two years of work experience as a Fiscal Specialist II or Budget/Fiscal Analyst, or equivalent combination of education/experience.
ADDITIONAL REQUIREMENTS:
•Experience working with grants. •Interpersonal and customer service skills; demonstrated ability to work and communicate courteously with faculty, staff, and individuals from diverse cultural/ethnic/academic backgrounds. •Proven analytical, verbal, and written communication skills. •Strong computer skills, including email, and high proficiency in MS Office software. •Experience with large sets of data, including experience classifying information in complex databases. •Demonstrated ability to work well individually and as part of a team. •Close attention to detail and accuracy. •Proven ability to prioritize, meet deadlines, and manage multiple tasks and responsibilities; ability to maintain flexibility when dealing with shifting priorities maintaining a professional attitude.
DESIRED:
•Minimum of three years’ experience working with grants.
WORKING CONDITIONS:
•Meeting sponsor deadlines for annual reports, fiscal reports, and grant or program renewals.
