Annunciation Orthodox School (AOS) seeks an experienced, highly motivated, and detail-oriented Advancement Assistant to join the AOS Advancement Department. This position’s primary responsibilities include assisting the advancement team in supporting all of the school’s campaign cultivation and fundraising activities. Strong candidates will be self-motivated, responsive, organized, energetic, and collaborative.

Reports to: Director of Advancement
Status: Salaried/Exempt
Start Date: Immediately
Work Schedule: Monday-Friday, 40 hours per week, in addition to evenings and weekends as required for meetings or events.
Responsibilities:
Constituent Engagement
Assist the Alumni, Events & Volunteer Manager with the strategic implementation of alumni engagement events and programs focused on developing and strengthening the AOS alumni network.
Assist the Communications Department with alumni-related communications, including class notes, alumni features in the Delphian magazine, and alumni outreach via social media.
Work with the Alumni, Events & Volunteer Manager, Annual Fund Manager, and the Annual Fund Committee to engage alumni and former parents for maximum participation in the Annual Fund.
Assist with planning grandparent engagement events and programs focused on developing and strengthening the AOS grandparent community.
Steward our Grandparents & Special Friends Club and communicate with members regularly.
Build and cultivate meaningful relationships with AOS grandparents and special friends.
Event Support
Coordinate events for young alumni in high school and college.
Help plan and coordinate the annual school-wide Grandparents and Special Friends Day.
Assist with all fundraising-related events.
Design event invitations and signage.
Manage event registrations and nametags.
Gift Processing and Reporting
Assist with post-sales for Gala events (sign-ups, faculty offerings) and collections of outstanding gala accounts.
Help coordinate all tracking and acknowledgment of donations and prepare reports related to the Gala and other fundraising events.
Assist the Director of Advancement and Database Manager to help produce campaign reports and statistics. Produce campaign metrics for reports required in board meetings and relevant committee meetings.
Coordinate timely and accurate gift processing and acknowledgments with the Database Manager.
General
Perform administrative tasks in support of all members of the Advancement Department, including scheduling meetings, maintaining calendars, booking meeting rooms, and coordinating mailings.
Attend school events to build and deepen relationships with prospective and current donors.
Support all Advancement-related functions and events, including all Parent Teacher Club (PTC) and Dads Club activities.
Assist the Database Manager to ensure all gifts are promptly acknowledged.
Contribute content to school publications and social media as appropriate.
Work closely with various vendors such as caterers, florists, and printers.
Qualifications:
Bachelor’s Degree from a four-year college or university
One to two years of experience in fundraising, special events, or a related field
Experience in education, non-profit, or similar environments
Ability to independently prioritize multiple projects and tasks in a fast-paced environment
Strong project management skills and ability to execute independently
Ability to multitask, prioritize, and maintain a positive attitude during times of stress
Interest in building relationships with alumni, grandparents, and volunteers, and a willingness to engage them in meaningful ways
Desire to work collaboratively with multiple departments
Excellent communication skills, including writing, proofreading, and speaking
Respect for the confidential nature of an individual’s financial resources and giving aspirations
Tech savvy, Proficient with MS Office, mail merges, Google products, Raiser’s Edge, and Canva
